How to sound polite in English

Politeness works differently in English than in Hindi, and the difference catches people out. A sentence that is perfectly normal translated word for word can sound abrupt — and you will rarely be told.

English hides commands inside questions

In Hindi, a direct request with the right tone is polite. In English, the same sentence sounds like an order.

✗ Send me the file.
✓ Could you send me the file?

✗ Tell me the price.
✓ Could you tell me the price, please?

The rule is simple: turn requests into questions. Could you, would you, can you — these do almost all the work.

Soften the disagreement

✗ No, that is wrong.
✓ I am not sure that is right — can we check?

✗ I don't agree.
✓ I see it a bit differently.

You are saying the same thing. English simply expects a cushion around it.

"Please" is not the whole answer

Adding please to a command does not make it a request.

✗ Please send me the file. (still fairly direct)
✓ Could you send me the file, please? (a request)

Softeners worth having

Small phrases that make almost anything sound reasonable:

Would it be possible to…
I was wondering if…
Sorry to bother you, but…
When you get a chance…
Just a quick one —

Saying no

Refusing directly feels rude in English:

✗ No, I can't.
✓ I'm afraid I can't manage that today — would tomorrow work?

Give a reason and offer an alternative. Even a small one changes the whole tone.

Don't over-apologise

The opposite mistake, and very common among women in professional settings.

✗ Sorry, sorry, I just wanted to ask, sorry to disturb…

One sorry is polite. Three sounds anxious and quietly tells the listener your request isn't important. Ask once, clearly.

Where this matters most

With colleagues, in interviews, with customers, and in writing — email strips out tone entirely, so a blunt sentence lands harder than it would in person.

With family and friends, none of this matters. Politeness rules are for people who don't yet know you.
